Operation processes and procedures
I am committed to a high level of professional and ethical service for all my clients and making their special occasions an experience to remember.
- I will provide the parties information and guidance to enable them to choose or compose a ceremony that will meet their needs and expectations.
- I will ensure my personal presentation is of an appropriate standard.
- I will provide professional facilities to interview clients.
- I will regularly update all material (not limited) to invoicing and payment procedures, equipment maintenance, document storage etc.
- I will comply with and where necessary to ensure all Ongoing Professional Development is current and relevant to comply with the Attorney General Department requirements.
- I will comply with all Copyright requirements for Civil Celebrants as set out in the Marriage Act 1968.
- I will ensure that all documentation is accurate and submitted in a timely manner according to the Attorney Generals Department and Births Deaths and Marriages Registrar requirements.
- I will comply with the Complaint process and documentation requirements as set out in the Marriage Act 1968 and all Commonwealth Legislation [not limited] to Discrimination complaints process. All information will be provided to all clients.
- I will ensure all personal indemnity and professional insurances are current and provide the necessary cover relevant to my business services.
- I will commit to travelling to a ceremony in a manner that ensures a safe and prompt arrival. I will have a list of Civil Celebrants who will provide services if I am un able to complete ceremonies in case of illness, death or resignation.
- I will ensure they are familiar with the location of the ceremony and the time to get there.
- I will confirm pronunciation of names and or phrases that are to be used in the ceremony to ensure correct and proper usage.
Privacy and Confidentiality
- I will commit to ensuring the clients privacy at all times and no unauthorized person will be permitted to have access to it.
- I will not discuss or disclose any personal information about the Client unless otherwise approved or instructed to do so by the client.
- I will not confirm a booking until the client has paid a deposit.
Invoicing and refunds
- A non-refundable 50% deposit is payable to secure a booking. The booking is not confirmed until the deposit is received by the Celebrant.
- The balance of the booking cost is payable no later than 21 days prior to the Client’s event or at a time agreed upon by both the Celebrant and the Client.
- If the balance of the booking cost is not received 21 days before the event date, or at a time agreed upon by both the Celebrant and the Client, the booking may be canceled.
- The client is responsible for paying any charges imposed by the venue or required to access the venue. These charges may include, but are not limited to parking and electricity.
- The Celebrant will provide invoices and receipts in a timely manner.
- Email acknowledgment is sent to the client after the booking deposit is received. Receipts are sent after full payment is made.
Document recording and storage
- I shall keep all records, personal client details and confidential documents be securely stored at all times on password protected electronic devices and or in lockable filing cabinets.
- Disposable of personal information through secure processes.
- When I collect personal information I shall check that is current, complete and accurate.
- I will destroy or DE-identify personal information when it is no longer needed for any purpose, for which it may be used or disclosed, provided that it is lawful for me to do so.
Equipment maintenance and servicing
- I will commit to ensuring that all equipment owned and required to perform my duties such as PA and Microphones will always be in good and working order. Equipment will be stored in an appropriate secure area and maintained on a regular basis. All equipment will be regularly checked and test and tagged to ensure they are operational.
- In order to prevent damages to equipment, I reserve the right to deny persons the use of the equipment.
- If circumstances arise where a threat or implied threat of harm, damage, or violence to me or equipment, I have the reserve right to cease providing services. If the client is able to resolve the threatening situation within 30 minutes I will resume services. If the situation is unable to be resolved, I will not resume providing the service and the client will receive no refund of booking cost.
- Any damage to my equipment during the client’s event caused by the client, client’s guests, or any other person in attendance at the event whether invited or not will result in the cost to repair/replace the equipment to be payable by the client.
Stationery ordering
- I will ensure that all stationery and legal forms required to perform my duties will be kept current and up to date and in surplus supply at all times.
- To ensure accuracy and validity all legal forms will be ordered through the Australian Government recommended and approved supplier CanPrint Communications.
